The Challenge
Electropoli's main challenges, identified by Bartlomiej Jaroszek, were the lack of effectiveness of corrective actions after audits, which manifested itself in delays and repeated non-compliance due to lack of oversight. Also problematic was an obstructed flow of information and unclear division of responsibility, resulting from the dominance of paper audits and Excel files that prevented consistent tracking of data. Traditional documentation methods generated the risk of document loss, difficulties in archiving, and the errors and time-consumption associated with manually transcribing data. As a result, the company suffered from a lack of transparency and effective oversight of the entire audit process.
The solution
Expansion potential: The system is now being implemented in other areas of the company, such as quality (analysis of non-conforming parts), maintenance and departments such as HR, demonstrating its versatility and scalability. Electropoli recommends auditomat® to other companies as a great and practical tool for managing audits. Streamlining the work of auditors. The system has given auditors the ability to conduct audits immediately, attaching data and photos directly from their phones. In addition, it has also saved considerable time for shift masters and other auditors, who can conduct audits directly at their workstation without having to physically move around to retrieve documents. The auditomat® system's user-friendly interface makes it easy for auditors to quickly master its use without extensive training. It also has a positive impact on management. Management and supervisors have constant access and insight into the progress of noncompliance, which was previously difficult.
In the first instance, the auditomat® system supported the customer with 5S audits, and then further audit types were introduced, which were integrated so that all audits could be managed from one place. This made audit documentation always available at hand, on the computer and on the phone. Once the audit is completed, all reports are automatically forwarded to the people concerned. The person responsible for a particular site can easily access all information related to the selected area in one place.
In order to create a single data source from which information from multiple audits, such as 5S audits, health and safety audits, and Quality audits, auditomat® was used to digitize all types of audits performed at the company. This centralization of data has enabled the client to take a more holistic approach to process management and make faster decisions based on comprehensive analysis. All audit results, nonconformities and corrective actions are available in one intuitive system, increasing convenience and management efficiency. With this solution, the client can more easily monitor and evaluate the effectiveness of activities and take appropriate steps to improve processes and standards in the organization.

All audits, reports, non-conformances and corrective actions performed are now in one centralized location, eliminating the need to search through scattered files, emails or network drives. Authorized individuals have immediate, real-time access to data from a computer, tablet or cell phone, greatly improving internal communications and speeding up key decision-making.
Implementation of the new system has significantly increased efficiency and time savings by reducing the average audit time by about 30-40%, allowing for more frequent and in-depth audits. The number of audits performed has increased by about 50% due to the elimination of paper-based barriers. In addition, audit preparation time has been reduced by 50-60%, allowing auditors to focus on the substantive side of their work, and audit processing time (data capture, information distribution) has been reduced by about 70%, minimizing manual processes and bureaucracy. The system has also effectively eliminated related errors.
