AMIC POLSKA Sp. z o.o., owned by an Austrian energy company, is rapidly expanding its network of AMIC Energy petrol stations in Poland. The company, which focuses on transparency, trust, and the highest level of service and fuel quality, currently manages an extensive, multi-branch infrastructure. Ensuring consistent operating standards, maintaining a uniform image, and controlling product quality across all 128 locations has become a strategic task, but one that is difficult to implement.

Challenge
The key challenge for AMIC Energy was to maintain full brand consistency across more than 100 franchise locations, including visual identity, displays, service standards, and staff appearance. At the same time, the company struggled with difficult and scattered operational oversight—from compliance with regulations and safety rules, through technical condition checks of equipment, to cash register procedures and fuel management. The problems were exacerbated by the lack of a single system for collecting audit data in real time, which limited transparency and made it difficult to quickly identify recurring non-compliance issues. As Mariusz Banasiak, IT Director at AMIC Energy, points out, before the implementation of auditomat®, information from the field was collected in scattered, incompatible spreadsheets and manually merged into multiple applications, so instead of making fact-based decisions, the team focused on the tedious task of comparing data from different branches.

Solution
Digital checklists and audit procedures in auditomat® ensure that each audit is carried out in a comprehensive, uniform, and accurate manner, and that managing controls across the entire station network becomes much easier. The system enables ongoing verification of compliance with safety, environmental, and legal regulations, inspection of the technical condition of equipment, pumps, and POS systems, as well as assessment of fuel quality and correct calibration of dispensers. It also facilitates the supervision of cash and warehouse procedures, monitors customer service quality and the use of operational tools, supports sales analysis and automatic reporting, and additionally allows for effective management of retail and catering space thanks to data on product availability and inventory levels. All these areas are interconnected, creating a solid foundation for data-driven management.

Thanks to the central panel, all audit results are collected in one place, which makes it easy to observe changes over time, compare locations, and draw conclusions about the quality of individual stations' operations. Access to a complete picture of the situation supports more informed operational decisions and enables immediate detection of major deviations from standards. The lack of a centralized system limited accountability and transparency. It was difficult to track the status of corrective actions and enforce the accountability of process owners, which hindered effective quality management.
At the same time, the system automatically detects recurring problems, assigns people responsible for solving them, and monitors the progress of corrective measures. Combined with transparent information flow between auditors, regional managers, station operators, and headquarters, the platform significantly improves cooperation and increases the effectiveness of corrective actions.
